Job sheets: signed on site, invoiced in one click

Write down the hours and materials of a job, let the customer sign on the screen, and turn the sheet into the invoice.

A job sheet is the record of one visit: who went, what was asked for, what was done, and the hours and materials it took. The customer signs it on your phone, tablet or laptop, and the lines you charge for become the invoice without typing anything twice.

Writing a sheet

  1. Go to Job sheets → New job sheet.
  2. Pick the customer and fill in what the job is, where the work was done, the date and times, and who went.
  3. Write what was asked for and what was done. Notes for us stay inside your team and never print on the sheet.
  4. Under Hours and materials, use Add hours and Add material. Each line has its own VAT rate and a Charge tick.
  5. Add Photos from site if they help: photos or PDFs, up to 12 MB each.

A line without the Charge tick still shows on the sheet the customer signs, so they can see the work that was done at no charge, but it stays off the invoice.

The customer's signature

Open the sheet, hand the screen to the customer and let them sign with a finger or the mouse, then press Save the signature. If it went wrong, press Sign again. The PDF button gives you the signed sheet to send or print.

Making the invoice

Press Make the invoice. The lines marked to be charged become an ordinary invoice with the VAT each line carries, the sheet is marked Invoiced, and the invoice notes which sheet it came from. A sheet can be invoiced only once.

Settings

Under Setup → Job sheets you choose the numbering (JOB-00001 to start with), the unit for hours, whether a sheet must be signed before it can be invoiced, whether the invoice is made as a draft so somebody checks it first, and the terms printed on those invoices.

  • Statuses: Draft, Booked in, Done, Invoiced and Cancelled.
  • Staff roles decide who may see every sheet or only their own, and who may turn a sheet into an invoice.
  • Job sheets work in the website, including on a phone or tablet browser. The Windows app does not have them yet.
