Gift cards: printed at the till, on the phone, or on plastic

Sell a gift card with a QR code, let customers check what is left on it, and pay with it at the till.

A gift card is a code with money on it. It prints as a slip with a QR code at the till, can be sent to the customer's phone as a link, and can later be a plastic card from a print shop. The customer scans the QR code to see what is left on it.

Selling a card

  1. On the till, with no other sale on the screen, press Sell a gift card.
  2. Pick an amount or type one. Add who it is for if you like.
  3. If you sell a plastic card, scan it under A printed card to load it. Otherwise a new code is made.
  4. Take the payment in cash, card or transfer. The gift card slip prints.

Selling a card raises no VAT invoice, because nothing has been sold yet. The VAT is charged when the card is spent, on the sale it pays for. The money taken counts in the drawer and the Z report, but not as turnover until the card is used.

Paying with a card

In the payment window choose Gift card and scan or type the code. The till shows what is left on the card. A card cannot give change, so if the sale is more than the card holds, the rest is paid another way.

Looking after the cards

  • Point of Sale → Gift cards lists every card with its balance and history, and shows how much is Still owed on cards in total.
  • Block this card stops a lost or stolen card from being spent. It can be unblocked later.
  • Correct the balance adds to or takes off a card, always with a reason.
  • Cards can last a set number of months, or never expire. Set it under Setup → Point of Sale → Receipt and printer, together with the amounts offered at the till.

Plastic cards

Under Blank cards for printing, make a batch of codes and send the CSV to the print shop. A blank card holds nothing until it is sold at a till, so a card that goes missing before it is sold is worth nothing.
