Products, barcodes and stock

Build the catalogue the till sells from, with sizes and colours, shelf labels, stock counts and transfers between shops.

Adding a product

  1. Go to Point of Sale → Products and press New product.
  2. Give it a name, a code and a barcode. Choose One product, or Sizes or colours for a product with a row per size, each with its own code, barcode and price.
  3. Set the cost, the price and the VAT. Tick The price above already has the VAT in it for shelf prices.
  4. Tick Count the stock of this product and set Tell me below to be warned when it runs low.

Each product is linked to an item in your workspace, so it can also go on an ordinary invoice or estimate. Categories, brands and units are under Categories, brands and units on the Products page.

Tick products on the list and press Shelf labels to print labels with the name, price and barcode.

Stock

  • Point of Sale → Stock shows what is on each shelf, its average cost and its value. Only what is running low narrows it down.
  • Stock count: type what you actually counted. The difference is written as one movement with your reason on it.
  • Stock transfers move goods from one shop to another: the goods leave when the transfer is sent and arrive when it is received.
  • Every movement stays in Stock movements and is never changed, so a level can always be explained.

The Not moving report lists what is in stock with nothing sold in the last 60 days.

Shops and warehouses

Under Setup → Point of Sale → Shops, warehouses and tills, each place that holds stock is either a Shop, which sells from its tills, or a Warehouse, which only holds stock. Stock counts, transfers and purchase orders work the same for both.

  • On Products, pick a warehouse in the first filter to see only what it holds, with its own stock.
  • With two to five shops and warehouses, Products shows one stock column for each, side by side, and a total.
  • The No stock anywhere filter finds products with nothing on any shelf.
  • Put on gives the ticked products, or every product the filters list, a place at a warehouse. Nothing is moved, it only says where the product belongs.

Long lists come 100 at a time, with the total at the bottom (for example 1 to 100 of 11,729) and Previous and Next. Filters and searches carry over from page to page.
